### **Key signs your business has outgrown its finance function**

Most businesses don't plan their finance function. It just sort of happens.

A spreadsheet here, a bookkeeper a few days a month, the accountant at tax time. That setup might have been perfect when you started out. But businesses grow, and the systems and support behind them don't always keep up.

**What is a finance function?**

It's everything that keeps your numbers accurate and useful: bookkeeping, payroll, reporting, cash flow management, budgeting and forecasting, and the people and systems that make it all happen.

When it's working, you barely notice it. When it isn't, you feel it everywhere.

**8 signs your business has outgrown its finance function**

**1. Your reports arrive too late to be useful**

If you're looking at last quarter's numbers to make this month's decisions, you're steering by the rear-view mirror.

**2. You're making big decisions without a forecast**

Hiring, expanding or investing without a clear view of future cash flow is a lot of risk to carry on instinct alone.

**3. Cash flow keeps catching you by surprise**

A tight month now and then is normal. If every BAS, payroll run or supplier bill feels like a scramble, your finance function isn't looking far enough ahead.

**4. Sales are growing, but profit isn't**

This is often a sign that pricing, costs or margins need attention. (*We covered this in Part 7.*)

**5. The bank wants more than you can easily give them**

If you're preparing an overdraft application or another business finance application, lenders will usually want up-to-date financial statements, and often a budget and cash flow forecast too.

Many business owners ask us how to get an overdraft approved. Approval is always the lender's decision, but having clear, current numbers (and understanding them) helps you present your business with confidence, rather than pulling everything together in a rush.

**6. Everything runs through you**

If every approval, payroll question and finance decision lands on your desk, you've become the bottleneck, and your time is being pulled away from leading the business.

**7. Your processes haven't changed since you were half the size**

Manual data entry, multiple spreadsheets that don't talk to each other, systems that need workarounds. These are classic signs of a business outgrowing its current processes.

**8. Your board, investors or partners are asking for more**

When stakeholders want regular, reliable board reporting and forward-looking insight, a basic setup can struggle to deliver it.

**What does the next step look like?**

Outgrowing your finance function doesn't mean you need to hire a full-time CFO and build a finance department.

For many SMEs, the answer is a combination of solid bookkeeping as the foundation and a part-time or fractional CFO layered on top for planning, forecasting and strategic advice. We become your in-house finance team without taking up desk space or a full-time salary.

From bookkeeping and payroll to budgets, forecasts and regular reporting, we handle it all so you can make confident decisions backed by accurate data.

**Wrapping up the series**

Over these eight articles, we've covered budgets, cash flow, the numbers that matter, better decision making, margins and knowing when it's time for more support. If one of them made you stop and think about your own business, that's a good place to start the conversation.

**Quick answers**

**How do I know if my business has outgrown its bookkeeping?**

Common signs include late or unreliable reports, regular cash flow surprises, no forecast to guide decisions and processes that rely on manual workarounds.

**What's the difference between a bookkeeper and a CFO?**

A bookkeeper keeps your day-to-day records accurate and up to date. A CFO uses that information to plan ahead, forecast and guide strategic decisions. The two work best together.

**Do I need a full-time CFO?**

Not necessarily. Many SMEs get the expertise they need through a virtual or outsourced CFO, working the hours or days that suit the business.
